We are seeking a highly organized, proactive, and detail-oriented Business Office & Events Manager to join our Dealer Engagement and Experience Team. In this key role, you will provide comprehensive administrative, governance, reporting, and event planning and logistics support across key Dealer Engagement (GDE) and general business office initiatives
You will be responsible for managing end-to-end meeting administration, preparing executive level presentations and consolidating input from Subject Matter Experts (SMEs), developing, executing and monitoring regular operational and Dealer Engagement pillar reporting, and coordinating logistics for high-profile Dealer events including IMG Strategic Council.
• Meeting Administration & Materials Support:
• Lead end-to-end meeting administration across global time zones, including calendar coordination, presenter confirmation, invite management, and attendee tracking for monthly Dealer Engagement meetings and key IMG leadership forums.
• Consolidate meeting materials by gathering inputs from cross-functional stakeholders, formatting presentations into executive-ready decks, and maintaining strict document version control.
• Manage agenda requests, draft structured agendas, record meeting minutes, and drive action items and decisions through to completion with DRIs.
• Oversee pre-read material distribution and maintain centralized document repositories and SharePoint team sites to ensure seamless information sharing.
• Strategic Council Ownership:
• Lead end-to-end planning and logistics for the IMG Strategic Council, including coordinating participant logistics, preparing support and briefing materials, managing and distributing agendas, and ensuring executive alignment.
• Maintain IMG Strategic Council AOP documentation and track key deliverables.
• Enforce robust governance discipline across Council forums, ensuring action trackers and required meeting documentation are distributed to key stakeholders and submitted to the global team in line with strict reporting schedules.
• Facilitate virtual and hybrid meeting administration to ensure seamless execution.
• Event Planning & Logistics Management
• Plan, coordinate, and execute key dealer engagement forums and recognition events (e.g., IMG Salute to Dealer event, Rising Leader programs, IMG Strategic Council forums).
• Manage end-to-end event operations, including venue selection/coordination, travel arrangements, catering, and on-site/virtual event support.
• Oversee budget administration, expense tracking, and Purchase Order (PO) processing in accordance with company guidelines.
• Operations & Dealer Engagement Pillar Reporting:
• Lead monthly end-to-end data consolidation and Bowler reporting, including Bowler template setup, cross-functional input collection, analysis, and distribution.
• Own the end-to-end creation of monthly Dealer Engagement decks to communicate operational performance, strategic updates, and key metrics to leadership, ensuring timely consolidation of inputs from all SMEs.
• Oversee the development and distribution of ongoing status reporting across core engagement initiatives, including Dealer Sentiment survey tracking, Salute to Dealer nominations, and Global Food Drive participation.

- Education & Experience:
- Bachelor’s degree in business administration, Communications, Marketing, Operations, or related field (or equivalent practical experience).
- 3+ years of experience in administrative support, project coordination, governance, reporting, or event management within a global corporate environment.
- Proven experience consolidating cross-functional SME inputs, creating executive-ready presentation decks, and tracking key operational metrics.
- Demonstrated experience in full-lifecycle event planning and logistics management.
- Functional & Soft Skills:
- Exceptional organizational, time-management, and multi-tasking skills with meticulous attention to detail.
- Strong written and verbal communication skills (English) with the ability to collaborate across diverse global teams and leadership levels.
- High proactive ownership and follow-through capabilities.
- Technical & Tool Literacy: Advanced proficiency in Microsoft Office Suite (PowerPoint, Excel, Word, Outlook, Teams).
- Hands-on experience managing SharePoint sites, file repositories, and governance tracking tools.
Strong capability in Excel data consolidation (Bowler metrics) and virtual meeting platforms.
