In this role you will be helping to support the following tasks:

  • Business Operations Management: 
    • Track and analyze budget usage, specifically regarding personnel & non-personnel, ensuring alignment with annual forecasts.
    • Manage the creation and tracking of Purchase Orders (POs) and budget approvals.
    • Maintain accurate Team Rosters, Organizational Charts, and Distribution Lists.
  • Data Analysis & Reporting: 
    • Develop "Health Charts" and dashboards to visualize status for business-related tasks.
  • Conduct ad-hoc resource studies and workload analysis to support VHE leadership.
  • Process Automation & Optimization: 
    • Analyze current administrative workflows (reporting, tracking, roster management) to identify bottlenecks.
    • Develop and deploy automation solutions (using Excel VBA/Macros, Python, PowerBI Power Automate) to reduce manual data entry.
  • Leverage AI tools (e.g., Large Language Models, Copilot, Opencode) to summarize meeting notes, draft communications, and accelerate data analysis.
  • Education: Currently enrolled in the final year or recently graduated in Engineering (Mechanical, Mechatronics, Aeronautical, Automotive) or a related technical discipline. 
  • Technical Proficiency: 
  • Advanced Microsoft Office: Deep knowledge of Excel is required. Experience creating Macros or using VBA is highly preferred.
  • Coding & Scripting: Familiarity with basic coding logic (Python, SQL, or similar) to assist in automating data tasks.
  • AI Literacy: Interest in and familiarity with using AI tools to improve productivity and streamline processes (LLM, opencode, etc).
  • Core Competencies: 
    • Analytical Mindset: Ability to sort through complex databases and visualize data effectively.
    • Proactivity: A self-starter who looks for ways to improve existing systems without being asked.
    • Communication: Strong English proficiency (written, reading, and oral) with the ability to document agreements and technical processes clearly.
  • Preferred (Bonus) Skills: 
    • Experience with data visualization tools (e.g., Power BI, Tableau).
    • Understanding of Automotive Systems.
  • Strong English Proficiency (written, read, and oral).
