The Business Assistant role within the Manufacturing organization will be working in a fast-paced working environment that requires flexibility, resilience, and the ability to operate with a high degree of autonomy. This role is often involved in handling confidential business-related data, so candidates should have strong personal integrity and a sense of how, and with whom, to share information. This role requires significant collaboration with other teams, including Area/Department Managers (OCM), Staff of Ford of Mexico, and global key players and peers. In this role, you will be responsible for providing comprehensive support for a Plant Manager and its team.
TRAVEL: 3-4 times per year this job will require you to travel within mexico operations (specially between Edo Mex and Irapuato). Usual duration of one week.
Partner closely with the Plant Manager to streamline operations in a fast-paced environment, ensuring efficient time management and operating with a high degree of autonomy to keep big-picture goals moving forward.
Own the calendar, inbox, and global travel details, anticipating needs across different time zones and clearing roadblocks proactively to avoid agenda interferences. In this activity it will be required a close coordination with your peers from other facilities or plants that are directly or indirectly related to your Plant Manager.
Manage travels and expenses or invoicing, ensuring timely processing of Plant Manager's travel expenses in alignment with corporate policies.
Ensure the executive’s preparedness for meetings and operational reviews by securing required reports and data, materials, inviting key attendees, and keeping up-to-date information.
Collaborate significantly with cross-functional stakeholders, including departmental Operations Leads, staff, and regional/global peers and stakeholders to keep the team connected and aligned.
Lead events that are directly under the responsibility of the Plant Manager such as Team Integrations, Skip Levels, Visits, Director's Reviews and visits, etc.
Collaborate with HR & FPS fucntions in the organization of large-scale events such as staff meetings, all-hands, off-sites, and team gatherings, overseeing all calendaring, communication, technology, and logistics.
Utilize a robust toolkit, including Outlook, Teams, SharePoint, and MicroSoft tools (Excel, Word, Power Point, MS Forms, etc) alongside with Articicial Intelligence tools to stay organized, visualize performance, and keep administrative workflows running smoothly.
Maintain the highest level of personal integrity and confidentiality regarding corporate data, sensitive personnel information, and strategic business plans.
Bachelor’s degree in Engineering or a related field. We could consider other degrees if there's proven skill of managimg KPI's, data management, executive reports, artificial intelligence softwares or similar tools that are useful to comply with responsibilities described above.
2-3+ years of experience in business operations, project coordination, or as an Executive Assistant supporting technical or manufacturing leadership.
3+ years of advanced Microsoft Software experience, with a heavy emphasis on Excel, Power Point, Word, MS Forms, Copilot or other AI softwares. (data analysis, formulas, summarized and clean reports) alongside Outlook, SharePoint, and Teams.
Valuable if there is a prior experience working within a manufacturing or technology organization, demonstrating an understanding of operational workflows.
Strong analytical and organizational skills, with a proven ability to track KPIs, manage budgets, and anticipate the needs of a fast-paced department.
Excellent business writing and reporting skills, with the ability to synthesize complex operational data into clear, professional communications.
High degree of professionalism and integrity, essential for handling sensitive financial data, personnel information, and corporate strategy with total confidentiality.
Ability to work collegially within a team environment, adapting easily to open-concept offices and the dynamic nature of a software-driven organization.
